Visa for your course in Germany

For participants requiring a visa to attend a course in Germany

1. Registration and payment

An official confirmation of registration for visa purposes is issued only after a binding course booking, acceptance of these conditions and receipt of the full course fee. Full advance payment is our requirement for issuing the confirmation; it is not presented as a general embassy requirement.

2. Information required

Please provide your full name as shown in your passport, your residential address and proof of your professional registration as a dentist. Additional identification details may be requested where necessary for the confirmation.

3. Scope of our confirmation

The letter confirms your registration, the course details and payment of the course fee. Actual attendance can only be certified after the course.

The letter supports your visa application but does not guarantee that a visa will be granted. It does not constitute financial sponsorship or a declaration of commitment under Sections 66–68 of the German Residence Act.

4. Visa and travel arrangements

You are responsible for applying for the appropriate visa in sufficient time and providing all documents required by the competent authorities. Travel, accommodation, insurance, visa fees and living expenses are your responsibility.

If your visa decision is still pending and your attendance is at risk, please inform us as soon as possible. Rescheduling may be possible by agreement.

5. Payment

For course bookings requiring a confirmation for visa purposes, payment is accepted exclusively by bank transfer. The confirmation will only be issued once the full course fee has been credited to our bank account. Any bank transfer fees must be borne by the participant.

6. Refund following visa refusal

If the visa application submitted for attending your booked course is refused, we will refund the course fee less the payment processing fees described below, upon receipt of your cancellation and the official refusal notice. This also applies if the decision is issued after the course date.

The notice must identify the applicant and show the decision date and refusal. Unnecessary personal information may be redacted.

The refund will be issued via bank transfer within 14 calendar days of receiving the required documents and your cancellation. Travel, accommodation, insurance and visa costs are not reimbursed under this policy.

Payment processing fees actually charged to us in connection with your payment or refund will be deducted only to the extent that these fees are not refunded to us. No additional administration fee will be charged. Any deduction will be itemised in your refund confirmation.

A pending decision, withdrawal of a visa application or non-attendance alone does not qualify for a refund under this special policy. Our standard booking and cancellation conditions otherwise apply. Statutory rights remain unaffected.

7. Cancellation and use of the confirmation

Once a booking has been cancelled, the registration letter no longer confirms a current booking and must not be used as evidence of one. If a visa application is pending, you must inform the relevant visa authority of the cancellation.

8. Relationship to other conditions

These conditions supplement our standard booking and cancellation conditions. In the event of a conflict concerning refunds following visa refusal, this special refund policy takes precedence. Statutory rights, including any applicable rights if we cancel the course, remain unaffected.
